This policy describes how Traflicom handles personal data collected through this website. Traflicom operates an information and advisory portal about vehicle registration and traffic rules in Finland, with its office at Mannerheimintie 117, 00280 Helsinki, Finland.
Below we explain what is collected, why it is collected, how long it is kept, and how you can exercise your rights over the information you send us.
Data we collect
When you submit a question through the contact form, we collect the information you provide. In practice that means your name, your email address, and the content of your message, including any details you add about a vehicle, a registration deadline, or a document you are trying to sort out.
If you contact us by phone, we may record the contact details needed to respond and to follow up on the same query. We do not require more information than is necessary to answer a question, and you can leave optional fields empty without losing the ability to reach us.
- Contact form submissions
- Name, email address, and the message text you write, kept together with the date you sent it so we can follow the thread of a conversation.
- Phone enquiries
- A callback number and a short note of what the call was about, where that note is needed to keep the case straight between colleagues.
- Vehicle details you choose to share
- Only what helps answer the question — for example a first registration date, an import route, or whether a vehicle is being taken off the road temporarily. Nothing here is mandatory.
- Technical basics
- Standard information that a web server records to serve pages, such as the browser type and the time of a visit. It is used to keep the site working, not to build a profile of you.
Why we process it
Personal data submitted through this site is processed to respond to your enquiry and to maintain a record of correspondence. If you ask about a registration deadline or a document that is missing, the reply has to refer back to what you told us, which is why the message itself is kept while the case is open.
We do not use contact details for unrelated marketing, and we do not sell personal data to third parties. A question about vehicle registration does not turn into a mailing list subscription, and you will not start receiving newsletters because you asked us one thing.

Legal basis
Processing is based on your request for information and on the legitimate interest of operating an advisory service. When you write to us, you are asking for an answer, and answering requires handling the details in your message.
Where consent is required for a specific form of processing, it is requested separately and can be withdrawn. Withdrawing consent stops the processing that depended on it; it does not undo correspondence that was already handled on the basis of your request for information.
Two grounds cover almost everything on this site: you asked a question, and the portal has to run to answer it. Anything outside those two is asked about first.
Retention
Correspondence is retained only as long as needed for the purpose it was collected for, or as required by applicable obligations. Messages that are fully resolved are not kept indefinitely.
While the case is open
The message and the reply stay together so a second colleague can take over without asking you to repeat anything.
After it is answered
Resolved correspondence is cleared once there is no need to refer back to it, rather than being stored as a permanent archive.
When an obligation applies
Where a rule requires a record to be kept for longer, that record is held for the period the rule sets and then removed.
Your rights
You may request access to the personal data we hold about you, ask for correction of inaccurate data, and request deletion where no overriding obligation requires retention. Requests can be made using the contact details below, and you do not have to explain why you are asking.
If you asked a question about vehicle registration and later want the message removed, say so and we will confirm what was deleted. If a record has to stay because a retention obligation covers it, we will tell you which part is kept and for how long.
What do I need to send to make a request?
A short message stating what you want — a copy of what we hold, a correction, or deletion — is enough. Mentioning the email address or phone number you originally used helps us find the right correspondence, but is not required to start the request.
Does asking a question put me on a mailing list?
No. Contact details are used to answer the query and to keep the case straight. They are not added to a list for unrelated messages, and they are not passed to third parties for their own use.
What if my message contained documents about a vehicle?
Only send what the question needs. Details about a vehicle are held for the same reason and the same period as the rest of the message, and a deletion request covers them along with the correspondence it belonged to.
How long does a request take to process?
Requests are handled during office hours, Monday to Friday, 9:00–18:00. If finding the correspondence takes longer than expected, we will say so in the reply instead of leaving the request open without an answer.
